Annual Meeting

Each spring, the Society of Southwest Archivists hosts its annual conference, organized and led by members of the Annual Meeting Program Committee.

Proposing to Host a Meeting?

The SSA Site Selection Committee and the Executive Board select the annual meeting location based on proposals submitted by members. If you're thinking about hosting, consider what your city can offer attendees.

  1. Does your city have suitable hotel and convention facilities?
    • Is the venue close to attractions?
    • Are there restaurants within walking distance?
    • Is the facility size appropriate?
    • Can you negotiate an affordable hotel rate?
    • Is there adequate vendor space for maximum engagement?
  2. Is there a nearby major airport or alternative transportation options?
  3. What activities could be scheduled outside the formal meeting?
  4. What local support is available?
    • Are SSA members available to serve on the Local Arrangements Committee (LAC)?
    • Can local businesses provide financial or in-kind support?

Proposals should be submitted to the Annual Meeting Site Selection Committee Chair at least 24 months in advance. Early submissions (up to 3 years ahead) are welcomed and should include:

  • Proposed LAC Chair and members (must be SSA members)
  • Examples of available hotel and convention facilities
  • Local points of interest for attendees
  • Transportation options to/from the proposed city
  • Potential local exhibitors, sponsors, or donors
