    Position Description

    The Associate Archivist and Records Manager oversees the functional management and processing of museum archival and institutional records collections, operation and enforcement of records policies, and provides archives reference service.

    Responsibilities

    • Manage institutional and special archival collections, including accessioning, describing, preserving, and providing access to both paper and digital records.
    • Create, document, and implement archives and records management policies and procedures for preservation purposes.
    • Manage records retention and management issues; coordinate transfer or destruction of departmental records; acquire and accession inactive records.
    • Provide reference service for archives patrons.
    • Create and manage finding tools to assist patrons in finding archival information.
    • Develop and maintain archives specialized databases, such as those related to ephemera, acquisitions, and gift collection.
    • Create, document, and implement digital archives work, policies, and best practices.
    • Manage the digitization of special collection material.
    • Manage the Museum’s digital preservation system.
    • Participate in outreach programs that promote use of the archival collections.
    • Maintain security of inactive and archival records.
    • Manage and maintain archives storage systems, including inventory control.
    • Assist the Head of Archives with long-range planning for the archives.
    • Contribute to staffing of the Gentling Study Center and Library public hours.
    • Gather and report archives statistics.
    • Assist in developing archives-related exhibitions.
    • Assist Gentling Curator and Head Archivist with archives collection development tasks, e.g., pre-selection of archival acquisitions.
    • Maintain confidentiality of museum information.
    • Other duties as assigned.

    Supervisory Responsibilities

    Supervision is provided over the Archives volunteers, interns, and practicum students, when applicable.

    Skills and Requirements

    • Knowledge of archival and records management principles, practices, and systems.
    • Knowledge of preservation standards and methodologies for both print and digital resources.
    • Knowledge of current national archival and descriptive standards and best practices, including working knowledge of MARC format, EAD, DACS, and other archival descriptive standards.
    • Familiarity with digital forensics tools and methods (such as the BitCurator environment, disk imaging, write blocking, etc.)
    • Excellent communication skills and ability to communicate effectively with staff and patrons.
    • Familiarity with standard archival practices.

    • Ability to use good judgment and to work congenially and productively with museum staff and visitors.
    • Compulsory ability to work accurately and efficiently; must be detailed oriented; adept analytical thinker and problem solver.
    • Demonstrated commitment to public service and willingness to provide reference service to the public.

    Qualifications/Education

    • Master’s degree, or higher, in library science, archival studies, American history, or equivalent.
    • Minimum five years of experience working in an archive.
    • Certified Records Manager.
    • Successful completion of coursework specifically addressing, digital archives, digital preservation, digital forensics, project management, and/or electronic records.
    • Knowledge of American art history helpful.

    Other Job Requirements

    • Successful completion of pre-employment and background screen.  MVR clearance also required.
