    Job Summary:

    Works as a member of the County Clerk’s Records Management Division team on a new independent project to develop a database inventory of all rolls of County Clerk microfilm maintained by Travis County. The completed inventory will be used as a resource for efficiently locating and accessing records in microfilm format, and for planning microfilm digitization initiatives for internal and online digital access.

    Records on microfilm include permanent records recorded by all Travis County Clerk’s Office functions since 1840, such as County Court at Law minutes, deed records, marriage licenses, and their affiliated indexes. Rolls are currently distributed between at least five different Travis County offices and offsite storage locations and have been duplicated and distributed in various configurations over the years. This position will be responsible for coordinating with microfilm custodians to conduct background research on microfilm holdings and identifying all necessary data fields for the database. Works closely with an IT Database Administrator colleague who will create the database itself. Once the database is created, the Records Analyst Associate will make an inventory plan, start the inventory process, and coordinate the inventory project with the assistance of additional Records Management staff.

    An ideal candidate will be self-motivated, have a good understanding of relational database concepts, and an interest in improving control over and access to permanently valuable local government records. Library, archives, or records management education and experience using microfilm, Standard Query Language (SQL), and Microsoft Access a plus.

    This new Special Project Worker position is initially funded through the end of September 2024 and open to additional 2-year renewal(s) pending annual budget approval. If renewed, future work will focus on coordinating and conducting paper and microfilm digitization projects to improve access to permanent County Clerk records.
